With several long-standing customers, as well as new enquiries every day resulting in a growing portfolio of new clients. We are looking a for an experienced and reliable Office Manager to join our existing team in a busy and fun environment, to meet the needs of our expanding market. We have excellent supplier relationships, some decades old, but all of which are built on mutual trust and consistent adherence to supplier terms. Our business consists of a retail store and website as well as a wholesale operation, which includes acting as a distribution house for particular clients. We believe in working hard, but also having fun! To thank the team for their dedication, in the last 12 months we have taken them out many times including "thank-you" drinks by the river, a party in a 5* hotel and an end of season celebration evening in a shisha lounge! Of course, we have an annual Christmas Dinner plus during the year we aim to reward individual effort with occasional gifts or vouchers. The role is at the hub of the business and you will be involved in both the purchase and sales ledger. You will be in daily contact with suppliers and, where necessary, also liaise externally with customers and internally with shop floor and accounts. No two days will be that same and, by way of example, the following is a non-exhaustive list of the variety of tasks that may need to be carried out in a typical week (split into the main areas of work): - Key Responsibilities Admin Support Answering telephone calls, managing queries and forwarding where required Diary management Writing and answering emails Secretarial support Supplier Management Raising and tracking purchase orders (PO's) Reconciling PO's against checked delivery notes Liaising with suppliers on any discrepancies; organising replacements or credit Checking supplier order confirmations Allocating stock to retail (liaising with shopfloor) or wholesale (liaising with accounts) Arranging returns to suppliers Operations/Services Management Ordering stationery and office supplies Sourcing and ordering shop floor supplies Liaising with MD for additional or one-off purchases Customer Management (retail and website) Supporting shop floor, eg. printing notices, stock sheets, company forms and barcodes Managing database/spreadsheet of outstanding and special customer orders Printing web orders received Support on web orders despatched, eg. entering tracking numbers Customer Management (wholesale and distribution) Taking wholesale orders (and raising associated POs with suppliers) Manage customer expectations, including delivery updates Support accounts on receipt of wholesale stock Booking despatch of wholesale orders with couriers Marketing Support Help with marketing generally, including email marketing and social media Mailing lists, mail merge and follow-up Handling new enquiries, including generate quotations and samples Occasional lead generation and follow-up Key IT Systems Apple Mac based office (experience of Mac helpful, not essential) Microsoft Excel, Word and Outlook (occasional PowerPoint) AccountEdge accounting software (training provided) LightSpeed Epos, including CRM maintenance (training provided) Skills & Experience Required As your tasks will vary, you will need to have good organisation skills and be able to multi task and take on several duties. Good communication and numerical skills with an excellent telephone manner is essential. You will ideally have worked in a small professional firm previously and be used to taking on several responsibilities personally. Ideally you will have a solid work background, be confident and professional, and be able to run the office smoothly and efficiently. You will need to demonstrate: - Prior experience as an Office Manager/Administrator Professional phone manner Ability to solve problems Computer literate - ie. Microsoft applications mentioned above Good IT skills - including spreadsheets and data processing Financially literate Reliable and trustworthy Organised and happy to take on responsibility Ability to work unsupervised Able to work individually or part of a team Flexible, eg.willing to help on shopfloor on particularly busy days The position is 9.00am to 5.30pm either Monday to Friday or 4 days in the week + Saturday, with an hour for lunch. However, applicants should be prepared to be flexible as varying hours, some weekend and occasional off-site work will be required, particularly in the summer due to the seasonality of the business.
