    Team Organiser/Administrator - 3 Month Contract - Immediate Start

    We are recruiting for one of the nation's largest commercial companies who provide an extensive range of construction services including construction management, general contracting, design and build and preconstruction.

    The Role:

    An exciting opportunity has arisen for an enthusiastic, proactive Team Organiser/Administrator to join our team in Rochester, on a 6 month temporary contract. As the successful candidate you will have great attention to detail and be able to carry out a variety of Project based activities providing full support to the Senior Managers within the Rail Services team.

    Key Requirements

    • provide full administrative support to the East Kent Re-signalling team of designated area, administering all correspondence and project job files
    • provide an effective secretarial service to the Senior Project Manager
    • prioritise responses to emails
    • liaise with clients and staff of all levels
    • diary management to senior level
    • organise internal and external meetings and events as required, attending meetings, taking minutes and issuing actions
    • issue document transmittals to the project, monitor returned receipts and log via document control system A-Site
    • deal with ad-hoc transport arrangements, including arranging servicing, hiring vehicles and rail travel
    • collate time sheets weekly and issue to the timesheet department as per the required time scales, record hours worked on project
    • submit expense forms and mileage forms for processing
    • input Close Calls on to ISMS
    • identify needs and order PPE, IT equipment and stationary, and processing invoices efficiently
    • monitor and record annual leave for the team, update spread sheet summary and issue
    • photocopy and scan documentation to create hard and soft copy files
    • ad-hoc duties as required by management
