Administrative Assistant Nr ref.: /JOBS.pl Are you looking for a role where your experience as an Administrative Assistant and your Customer service background will be put to their best possible use? Reveneco Inc., headquartered in Montreal, QC, is a Test Prep Leader with an international presence who is looking for a new member to add to their team. This permanent Administrative Assistant role reports directly into the President of the organization, and is the face of the organization in Montreal at all times, whether the President is overseas or in the office. This is a role for a highly autonomous and skilled Assistant with a strong sense of initiative. There are 5 main areas of responsibilities in this Administrative Assistant role: 1. Customer service: Answering all local and Canada/USA toll free incoming calls, real time chats and messages and provide customer support, product information and technical assistance to callers. Performing updates in member profiles based on calls to customer service or online chats. Packaging and shipping of products from the Montreal office using various courier companies, following tracking through to delivery. 2. Administration Receiving, processing and scanning weekly mail. Distributing to execs and team. This includes: emailing items, saving on network drive, Google sharing and filing hard copies in office cabinets. Coordinating online team meetings including the issuance of agenda and minutes. Providing programmer work updates and shift information to team and to The President. Tracking and submitting Montreal product inventory using internal spreadsheet. Performing audits on 16 contractors and submitting to VP for review. 3. Finance Providing banking updates to VP (this is for all our bank accounts in Canada, USA, Australia +). Performing cheque deposits, input petty cash entries and payroll details into QuickBooks. Investigating finance related month-end queries. Submitting monthly reports to Accountants from Distributors. 4. Marketing Supporting the marketing team with their activities such as: Reviewing Marketing Coordinator's draft emails. Making follow up calls to clients contacted by email (B2B). Working with a lot of interesting people via Skype in other provinces or overseas locations to name only a few! 5. Personal assistant duties to support the President of the organization Managing travel arrangement and bookings for overseas accommodations. Pay bills on behalf of President. And all other details and duties that make a world of difference, like ordering flowers for family birthdays or any given ad hoc request. Prior experience required: Minimum 1 year of experience in a fast-paced, highly autonomous role providing administrative support to several employees. Still wondering if you're perfect for this role?
